About the Role:
We are seeking a detail-orientated person to manage end-to-end travel arrangements, visa processing, hotel bookings, and transportation logistics. This role requires a strong analytical mindset to optimise processes, identify cost-saving opportunities, and generate insightful reports. The ideal candidate will possess excellent organisational and problem-solving skills, strong communication abilities, proficiency in data analysis, and experience in approving travel requests, per diem, and expense reports within designated tools.
Responsibilities:
End-to-End Travel Management (Domestic & International):
- Manage all aspects of domestic and international travel, including flight and hotel/guesthouse bookings, ensuring cost-effectiveness and adherence to company policies.
- Compare options from multiple vendors to secure the most economical fares and accommodations.
- Assist employees with travel-related enquiries and provide necessary support throughout their journey.
- Arrange airport transfers and other ground transportation.
- Ensure compliance with all relevant travel regulations and company guidelines.
- Process travel expense reports and ensure accuracy.
- Analyse travel data to identify trends, optimise spending, and improve travel policies.
Visa Processing:
- Manage the end-to-end visa application process for international business travellers, including documentation gathering, application submission, and coordination with relevant authorities.
- Stay updated on visa requirements and regulations for various countries.
- Provide guidance and support to employees on visa-related matters.
- Ensure timely processing of visa applications to avoid travel disruptions.
- Track and analyse visa processing timelines and success rates.
Hotel and Guest House Management:
- Manage relationships with hotels and guest houses, negotiating rates and ensuring favourable terms.
- Maintain a preferred vendor list and evaluate vendor performance.
- Handle booking requests and ensure accuracy and employee satisfaction.
- Analyse hotel booking data to identify cost-saving opportunities and preferred locations.
Transport Logistics:
- Coordinate transportation logistics for employees, including airport transfers, local travel, and inter-city travel.
- Manage relationships with transportation vendors, ensuring cost-effectiveness and reliability.
- Analyse transportation costs and identify opportunities for optimisation.
Data Analysis and Reporting:
- Collect, analyse, and interpret data related to travel, visa processing, hotel bookings, and transportation logistics.
- Develop and maintain dashboards and reports to track key metrics and trends.
- Identify areas for process improvement and cost optimisation based on data analysis.
- Present findings and recommendations to relevant stakeholders.
- Ensure data accuracy and integrity.
Vendor Management:
- Source quotes and pricing from multiple vendors for travel and event-related services.
- Identify and recommend the most suitable (L1) vendor, obtaining necessary approvals for onboarding onto the company vendor list.
- Act as a liaison between vendors and the procurement team during the onboarding process.
- Maintain comprehensive agreements and Service Level Agreements (SLAs) with vendors, ensuring adherence to agreed terms.
- Process vendor invoices, submitting them to the finance team on the 5th of each month (following bi-monthly vendor submissions) for timely payment release.
- Coordinate with vendors to implement necessary changes and updates to ticket booking tools based on company requirements.
Qualifications and Skills:
- Bachelor's degree / MBA in business administration / any degree in travel-related fields
- Prior experience in end-to-end domestic and international travel management, visa processing, hotel booking, vendor management and/or transport logistics will be an added plus.
- Strong analytical and problem-solving skills with the ability to interpret complex data.
- Proficiency in data analysis tools (e.g., Excel) and dashboard creation.
- Excellent communication and interpersonal skills.
- Strong organisational and time-management abilities with a keen eye for detail.
- Ability to work independently and manage multiple tasks simultaneously.
- Familiarity with travel booking platforms and visa application processes.
