About the role:
We are seeking a highly organised and resourceful Travel & Administration specialist to oversee a broad spectrum of operational functions crucial to our global success. This dynamic role encompasses end-to-end travel management, event planning, thoughtful gifting initiatives, efficient inventory control, and strategic office space management. The ideal candidate will be a proactive problem-solver with a keen eye for detail, a strong analytical mindset, and exceptional communication skills, ensuring seamless operations and a positive experience for all employees and stakeholders.
Roles and responsibilities:

Global Travel & Logistics Management:
-
Manage all aspects of domestic and international travel, including flights, accommodations, and ground transportation, ensuring cost-effectiveness and adherence to company policies.

Oversee end-to-end visa application processes for international business travellers, staying updated on global requirements.

Negotiate with vendors to secure the most economical rates for travel and accommodations.

Provide comprehensive travel support and guidance to employees worldwide.

Analyse travel data to identify trends, optimize spending, and improve policies.

Event Management:
-
Lead the planning and execution of internal and external events, from small team gatherings to large-scale conferences.
-
Negotiate contracts with venues, caterers, and other event vendors to ensure favourable terms.

Coordinate all logistical aspects, including travel and transportation for attendees, audio-visual needs, and on-site support.

Manage event budgets, secure necessary approvals, and ensure timely invoice processing.

Conduct pre-event site visits and collaborate with internal teams to ensure flawless execution.

Gifting Management:
-
Develop and implement a strategic global gifting programme for employees, clients, and partners.
-
Source unique and high-quality gifting options, managing vendor relationships and budget adherence.

Oversee the procurement, inventory, and distribution of gifts, ensuring timely and impactful delivery.

Track gifting initiatives and analyse their effectiveness.

Inventory Management:
-
Manage and maintain accurate inventory records for office supplies, equipment, and other company assets across all global offices.
-
Implement efficient inventory control systems to minimise waste and optimise stock levels.
-
Oversee procurement processes for inventory items, ensuring competitive pricing and quality.
-
Conduct regular audits to reconcile physical inventory with records.

Global Office Space Management:
-
Oversee the management of office spaces across locations, including renewals, new space acquisition, and optimisation of existing layouts.
-
Collaborate with internal teams and external vendors (e.g., real estate brokers, interior designers) to assess space needs and execute projects.
-
Manage lease agreements, facility maintenance, and vendor relationships for all office locations.
-
Ensure compliance with local regulations and create a comfortable and productive work environment for employees.
Requirements:
-
Bachelor's degree in business administration, travel management, or a related field.
-
Minimum of 5-8 years of progressive experience in a combination of travel management, administration, event planning, and facilities management.

Proven expertise in managing international travel logistics and visa processes.
-
Demonstrated success in planning and executing global events of varying scales.
-
Experience with gifting programmes, from strategy to execution.
-
Strong understanding of inventory management principles and systems.
-
Experience with global office space management, including leases and renewals.
-
Exceptional vendor management and negotiation skills.
-
Advanced proficiency in data analysis tools (e.g., Microsoft Excel) and experience with dashboards/reporting.
-
Excellent written and verbal communication, interpersonal, and presentation skills.
-
Highly organised, detail-orientated, and capable of managing multiple complex projects simultaneously.

Ability to work independently and collaboratively in a fast-paced, global environment.

Familiarity with various travel booking platforms, event management and inventory management
